Job Description

  • The Executive Assistant (EA) serves as the primary strategic and administrative partner to the Dean.

  • This role is the central hub for the Dean's office, managing a complex calendar, handling high-level communications, and coordinating institutional initiatives.

  • The ideal candidate is a proactive problem-solver, an exceptional communicator, and a trusted custodian of confidential information who can smoothly navigate the academic environment.

Key Responsibilities

  • Calendar & Schedule Management: Manage the Dean's complex, rapidly changing calendar. Prioritize meeting requests, resolve scheduling conflicts proactively, and ensure the Dean is fully prepared with necessary briefings and materials for all commitments.

  • Communications & Liaison: Act as the primary point of contact and "gatekeeper" for internal and external stakeholders, including faculty, students, donors, university leadership, and board members. Draft, edit, and manage high-level correspondence, memos, and presentations.

  • Meeting & Event Coordination: Organize and execute key institutional meetings, faculty assemblies, and special events. Prepare agendas, record detailed minutes, and track action items to ensure momentum on strategic initiatives.

  • Project Support & Operations: Assist the Dean with special projects, institutional research, and reports. Handle sensitive information with absolute discretion and maintain the administrative operations of the Dean's suite (including travel arrangements and expense reporting).

Skills Required

  • Advanced proficiency with office productivity software (Google Workspace, Microsoft Office) and scheduling tools.

  • Superb written and verbal communication skills. Strong organizational habits with the ability to manage multiple high-priority tasks simultaneously.

  • Core Competencies: Exceptional emotional intelligence, diplomatic tact, strong judgment, and a collaborative, service-oriented mindset.
